Information We Process
ApplyMalawi processes information needed to create, edit, store, generate, and deliver CVs, resumes, cover letters, and related account services.
- Account details such as name, email address, authentication records, linked provider identifiers, and WhatsApp phone number.
- Professional document data such as CV/resume content, cover letters, job descriptions, uploaded job files, uploaded resume files, generated documents, templates, settings, and document history.
- Payment metadata such as selected plan, transaction reference, payment status, and payment provider responses. ApplyMalawi does not intentionally collect card or mobile money credentials.
- Operational data such as request identifiers, quota usage, error logs, device/browser metadata, approximate timestamps, and abuse-prevention signals.
- Analytics data for product improvement, including page and workflow events where analytics are enabled.
How We Use Information
- Create, save, edit, preview, improve, and export CVs, resumes, cover letters, and related documents.
- Provide WhatsApp bot conversations, account linking, OTP or recovery messages, document delivery, and support follow-up.
- Process plans, quotas, payments, failed payments, duplicate payment checks, and account entitlements.
- Maintain security, prevent abuse, debug failures, monitor service health, and improve product reliability.
- Measure product usage and improve user flows without intentionally sending raw document bodies or sensitive credentials to analytics systems.
Service Providers
ApplyMalawi may use third-party service providers to operate the service. Those providers process data only as needed for the service category they provide.
- Hosting, database, storage, queue, and infrastructure providers.
- WhatsApp and Meta services for WhatsApp Business Platform messaging.
- PayChangu and related payment infrastructure for payment processing.
- AI providers used to parse, improve, or generate resume and cover-letter content.
- Sentry for error monitoring, PostHog for product analytics, and Umami where analytics are enabled.
- Email or notification providers used for account and support communications.
Telemetry And Sensitive Content
ApplyMalawi's telemetry rules are intended to avoid sending raw WhatsApp message text, raw phone numbers, OTP codes, resume bodies, cover-letter bodies, documents, cookies, or authentication tokens to analytics or error-monitoring tags.
Data Rights And Deletion
Users may request access, correction, deletion, or review of their personal information by contacting support. Some records may need to be retained where required for security, fraud prevention, accounting, dispute handling, backups, or legal compliance.
Deleting a resume or cover letter in the product may initially soft-delete it so the product can support restore or audit behavior. A broader account deletion request should be sent to support until a self-service account deletion flow is available.
Security And Retention
ApplyMalawi uses reasonable technical and organizational measures appropriate for a small online service, including authentication, database access controls, logging, and data minimization rules for telemetry. No online service can guarantee absolute security.
Data is retained for as long as needed to provide the service, comply with legal or operational obligations, resolve disputes, enforce terms, maintain backups, and protect the service.
